What supplier invoice do I need from China for Amazon FBA?

The situation

"I am sourcing from a Chinese supplier for Amazon FBA. What invoice should I ask for so Amazon will accept it if they later ask me to prove where the products came from?"

Short answer

Ask for a final, itemized supplier invoice that identifies the real seller, your business, the products, the quantities, and the completed transaction. Do this before placing the order. A pro forma invoice, Alibaba order page, payment screenshot, or editable invoice made after Amazon asks for evidence may not prove a completed and verifiable supply transaction.

What the invoice should show

Amazon's exact request depends on why it is reviewing the account or listing. For authenticity and policy cases, Amazon has stated that invoices may need to be recent, cover the relevant sales volume, remain authentic and unaltered, and come from a supplier Amazon can verify. Read the notice inside Seller Central before submitting anything because the requested period and evidence can change by case.

Confirm the invoice chain before paying

The document is only useful if the business behind it can be verified. Before paying a deposit, ask the supplier:

  1. Which legal company will issue the final invoice?
  2. Will that company also receive the payment?
  3. Is it the manufacturer, an exporter, or a separate trading company?
  4. Can it issue an itemized final invoice after the transaction is completed?
  5. Will the company respond if Amazon contacts it to verify the invoice?

If the quotation comes from one company, the bank account belongs to another, and the final invoice will come from a third, stop and map the relationship before money moves. A legitimate structure can involve a factory and an export company, but the supplier should be able to explain it clearly and document it consistently.

A commercial invoice is not the same as every Amazon invoice request

A shipping commercial invoice is mainly used for the cross-border transaction and customs process. An invoice submitted to Amazon may also be used to verify product authenticity, the source of inventory, and the connection between the supplier and the seller. One document can sometimes support both purposes, but do not assume that a customs document with a vague description such as "accessories" will satisfy an Amazon review.

For branded goods, an invoice also does not replace permission from the rights owner when authorization is required. A valid purchase document cannot make counterfeit, restricted, or unauthorized inventory safe to sell.

Common reasons a Chinese supplier invoice becomes weak evidence

The safest time to solve these issues is before the deposit, not after inventory reaches an FBA warehouse. This is also why supplier verification before paying should include the documentation chain, not only the factory itself. If payment details change later, use a separate bank-detail verification process before sending funds.
