An Alibaba Trade Assurance dispute is decided against the documented online order, not against a buyer's general feeling that the goods are disappointing.

Alibaba.com says the online order is the basis of protection and that product quality and ship date should be defined there. It also says the payment must go through Alibaba.com's payment platform. Before filing, confirm that the order and payment are actually covered.

Act before the deadline

Alibaba.com's current buyer guidance says to request a refund within 30 days of product delivery. Check the deadline shown on your own order because the applicable program, shipment, and order status may affect the available route. Do not wait for a long informal negotiation while the platform clock runs out.

Build the claim around one clear sentence

State the documented promise, what was delivered, the measured difference, the affected quantity, and the remedy requested. For example: “The online order requires 304 stainless steel; the third-party test identifies the sampled units as another grade; 180 of 200 units are from the same marked batch; we request a refund of X.”

This is stronger than “the material feels cheap.” Keep each claim tied to a specific order term.

Evidence to prepare

  • The Alibaba online order showing model, material, quantity, quality requirement, packaging, and ship date.
  • Approved sample records, drawings, photos, or objective acceptance standards referenced by the order.
  • Inspection reports, unboxing video, measurements, batch photos, carton labels, and third-party test results.
  • A count of affected and inspected units, not only close-up photos of two defects.
  • Supplier messages acknowledging the difference, delay, shortage, or promised remedy.
  • Payment and shipping records connected to the protected order.

How to submit

Open the order in My Alibaba and use the refund or dispute function available on the order page. Complete the requested fields, upload the evidence in a clear order, state the requested amount and reason, and monitor the case inside the platform. Alibaba's official trade-dispute guidance advises parties to provide communication records and documents through its Complaint Center.

Use filenames and a short evidence index: “01-online-order-specification,” “02-approved-sample,” “03-inspection-report,” and so on. The reviewer should be able to understand the claim without guessing how twenty screenshots connect.

Why otherwise valid disputes become weak

  • Key specifications were discussed but never written into the online order.
  • The complaint uses subjective words without measurements or a defined standard.
  • A few defect photos are provided with no proof of batch size or affected quantity.
  • The buyer misses the refund window while negotiating privately.
  • Payment was made outside Alibaba.com's protected payment route.
  • The evidence does not connect the tested or photographed goods to the order.

Trade Assurance protects documented promises, not unwritten expectations. Write the order so that a third-party reviewer can tell what the supplier was required to deliver.

Do not rely on the dispute as your quality-control plan

A dispute is a recovery route after a problem. It does not replace supplier verification, a detailed order specification, production follow-up, or pre-shipment inspection. The best claim is the one you never need to file because the defect was found while the goods and final payment were still under control in China.
